Why Proco?

The real cost of chasing tenders

If you’ve been in the game long enough, you know the drill. You spend days preparing a proposal, you arrange a site visit, you build a detailed pitch pack — and then you hear nothing. No feedback. No outcome. Just silence.

It’s one of the biggest frustrations for cleaning, security, catering and landscaping companies looking for new business opportunities in South Africa. And it’s not your fault — the process is broken.

Proco exists to fix that. Every opportunity on our platform comes from a committed client who will make a decision. This is not a benchmarking exercise. It’s a real contract opportunity, run properly.

We work across the following service categories:

Cleaning, security and catering tenders where merit wins

Traditional tender processes often favour the biggest suppliers — those with the most infrastructure, the largest fleets, the longest CVs. Proco is built differently.

Every supplier — whether you’re a local cleaning company or a national security provider — is evaluated on two things:

icon

Capability

What you can deliver (equipment, certifications, systems, experience)

icon

Suitability

How well you fit this specific client’s needs (local presence, responsiveness, cultural fit)

Smaller suppliers receive a higher weighting on suitability. That means a community-based cleaning or landscaping company can compete equally with a national provider — if they’re the right fit. Merit wins, not scale. The client sets the evaluation criteria that matter to them. We facilitate the process. The decision is theirs.

Opportunities across South Africa

Proco connects suppliers to cleaning, security, catering and landscaping tenders across South Africa. We currently serve clients in:

You can register for opportunities in any geography. You’ll simply need to demonstrate that you can deliver in that area.

What to expect when you register as a supplier

Registration is free and takes less than 30 minutes. Here’s exactly what’s involved:

1

Company information

Basic company details — who you are, what you do, and how to reach you.

2

Select your service areas

Choose the categories relevant to your business. You’ll only complete a capability profile for the categories you select — so if you only offer cleaning services, you only answer cleaning questions.

3

Complete your capability profile

Up to 41 multiple choice questions per service category. Straightforward, not complicated. Completed once and used across all future opportunities — you can update it at any time. This is what powers your matching to the right cleaning, security, catering or landscaping tenders.

4

Sign the Trusted Partner Agreement

A once-off agreement that sets out how suppliers work with Proco — participation expectations, payment terms, and conduct. You sign it once and it applies to all future opportunities. Read the Trusted Partner Agreement.

5

Upload your company documentation

You’ll need to upload the following: CIPC registration certificate, SARS letter of good standing, BEE certification, and latest financial statements. Upload immediately or return to it when your first opportunity arises — whichever works for you.

What happens after you register

Your profile goes live. When a relevant opportunity matches your capability profile, you’ll receive: the service category and components, the estimated contract value, the location, and the client name. You’ll have six days to register your interest — then the process runs over two to three weeks across three gates.

Gate - 1

Capability profile evaluation

The client reviews all registered suppliers against their requirements using your capability profile. If you’re shortlisted, you move to Gate 2. If not, you’ll receive feedback on why — always.

icon
Gate - 2

In-person pitch

Shortlisted suppliers present their solution at the client’s premises, based on a structured agenda and the detailed specifications you’ve received. This is your chance to show how you’d deliver the service — and to introduce the people and culture behind your business. Pitches may take place in one day or over several days, depending on the number of shortlisted suppliers.

icon
Gate - 3

Pricing and contract review

Shortlisted suppliers submit their pricing and review the contract on the Proco platform. A consolidated score across all three gates informs the final decision.

The client makes the call. We make sure the process is fair, structured, and transparent — for everyone involved.
