How to Get the Most Out of a Proco Matchmaking Journey
A practical guide for suppliers
Proco matchmaking journeys are designed to do one thing well:
connect the right suppliers with the right customers through a fair, fast, and disciplined process.
That only works when everyone plays the process properly.
This guide explains how our matchmaking journeys work, what we expect from suppliers, and why these expectations exist — so you can focus on submitting strong, competitive responses rather than second-guessing the process.
Why the process is structured the way it is
Unstructured processes don’t reward good suppliers.
They reward the loudest, the fastest, or the most persistent.
Structure removes that noise.
By keeping communication centralised and decisions sequenced, we ensure:
- all suppliers receive the same information
- customers can evaluate properly
- timelines don’t drift
- decisions are based on substance, not side conversations
If you work with the structure, the process moves quickly.
If you work around it, it usually slows down — for everyone, including you.
One channel, one conversation
During a matchmaking journey, suppliers must not contact customers directly.
All questions, clarifications, and queries should be directed to Proco.
Why this matters:
- direct contact creates inconsistent information
- it disrupts evaluation timelines
- it puts customers in a difficult position
Centralising communication allows us to respond clearly, fairly, and quickly — and ensures no supplier gains an unintended advantage.
If you’re unsure about something, ask us — early.
Use the platform properly
All communication, documentation, and updates are handled through Marketdojo.
- Use the chat function to ask questions
- A real person will respond (usually within 24 hours)
- We do not use AI chatbots for supplier queries
All documentation, clarifications, and releases sit under the Documents tab.
If you can’t see something immediately, check there first — most issues are solved that way.
Don’t leave submissions until the last minute
Late engagement is one of the most common reasons strong suppliers underperform.
Completing tasks early allows time to:
- clarify requirements
- correct avoidable issues
- strengthen your response
Leaving everything to the final hours turns the process into a rush — and rushed submissions are rarely compelling.
Suppliers who engage early almost always submit better, more competitive responses.
Make sure the right people are prepared
Often, the person completing the platform tasks is not the person presenting to the customer.
That’s fine — as long as information flows internally.
Ensure your sales or presentation team has:
- reviewed the submission
- understood the evaluation focus
- prepared accordingly
Walking into a customer presentation without full context is entirely avoidable — and it shows.
How updates work (and what to expect)
Silence after submissions is frustrating. We’ve addressed this directly.
Proco now provides weekly updates after evaluation gates, even if the update is simply that no decision has been made yet.
That said:
- decisions sit with the customer
- repeated follow-ups won’t speed things up
- when there is movement, you’ll hear it from us
Patience here protects the integrity of the process.
What Proco does — and doesn’t do
To set expectations clearly:
Proco does:
- design and run the matchmaking process
- manage communication and timelines
- ensure fairness and consistency
Proco does not:
- influence customer decisions
- coach suppliers mid-process
- advocate for individual suppliers
Our role is to run a clean, disciplined process — not to tilt outcomes.
What good supplier behaviour looks like
Suppliers who perform well in Proco matchmaking journeys tend to:
- engage early
- ask clear, relevant questions
- submit focused, evidence-based responses
- respect the structure of the process
Clarity beats volume.
Relevance beats marketing language.
Evidence beats assertions.
The bottom line
Proco’s matchmaking journeys are competitive by design.
They work best for suppliers who:
- respect the process
- prepare properly
- communicate clearly
- focus on real capability, not noise
If in doubt, ask early.
If something feels unclear, raise it through the platform.
Work with the process — and it will work for you.
